Our status
Vasek Insurance Services Limited, 4th Floor, 30-34 Hounds Gate,
Nottingham, NG1 7AB. Vasek Insurance Services Limited is authorised
and regulated by the Financial Services Authority under Firm
Reference Number is 309354. The Financial Services Authority is the
independent watchdog that regulates financial services. Our
permitted business is advising on and arranging insurances. You can
check this on the Financial Services Authority register by visiting
the Financial Services Authority website www.fsa.gov.uk/register/ or
by contacting the Financial Services Authority on 0845 606 1234.
Our service
We only offer Vasek Insurance insurance products which are
underwritten by Certain Underwriters at Lloyd’s. As such you will
not receive advice or a recommendation from us. We will ask
questions to narrow down which of our products meet your
requirements. You will then need to make your own choice about how
to proceed.
Quotations
All quotations given by us are guaranteed and valid for a period of
30 days, subject to the information given by you not changing during
this period. Amounts quoted are the total amount payable for 12
months including all premiums, taxes and administration charges.
Valid quotations are always subject to receipt of a satisfactory
Statement of Fact. If any Statement of Fact contains information not
previously disclosed we reserve the right to amend any terms or
premium accordingly or withdraw cover.
Duty of disclosure
It is your responsibility to advise us of all material facts as
failure to do so may render your insurance void. If there are doubts
whether facts may be considered material, these should be disclosed
to us. It is also your responsibility to provide us with up to date
and accurate information throughout the life of the insurance
policy, especially when any policy is due for renewal. Records of
all information supplied and correspondence relating to any
insurance policy should be kept by you.
Payment and premiums
Payment of all insurance premiums must be made at the time of
placing cover unless we agree to allow you time to pay. In this
event payment must be received within 14 days or the insurance
policy will be void and cancelled from inception.
You are responsible for payment of any additional premium that may
become due following an amendment to the policy during the period of
insurance within 14 days of notification of the amount due or
following an invoice being raised and sent to you. Failure to do so
will result in your insurance policy becoming void and it will
subsequently be cancelled.
You must pay renewal premiums at the time of renewing a policy
unless we agree to allow you time to pay. In this event payment must
be received within 14 days or the policy will be lapsed from the
renewal date.
These terms apply at all times unless we have agreed different
payment terms with you or have allowed you more time in which to
pay.
Client money
Client money will only be held on behalf of an Insurer or
Underwriter in accordance with a written agency agreement. This
means that premiums are treated as being received by the insurer
when received in our bank account.
Confidentiality
Data protection is something we take very seriously at Vasek
Insurance. We are aware of and comply with our statutory obligations
regarding data protection relating to all our policies. Client
information relating to our insurance policies is confidential and
is always strictly treated as such. We will never release
information or details about any of our policyholders to anybody
else or any other company, organisation or third party. The only
time your information may be passed on to others will be if we are
directed to do so by law or for the purpose of providing insurance
and handling claims, if any, which may necessitate providing such
information to a third party such as Underwriters at Lloyd’s or an
Independent Loss Adjusters.
Cancellation rights
A retail customer has the right to cancel a general insurance
contract within 14 days of receiving the contractual terms and
conditions. Providing you have not made any claims we will refund
the premium on a pro-rata basis less an administration charge of
£15. We may cancel the insurance by giving 7 days notice in writing
to you at your last known postal address confirming that all cover
will cease. In this event we will refund a proportion of your
premium on a pro-rata basis. You may cancel the insurance at any
time by giving us 7 days notice in writing. In this event we will
refund a proportion of your premium less an administration charge of
£20 as long as there have been no claims made or reported during the
period of insurance.
Complaints
Our aim is to ensure that all aspects of your insurance are dealt
with promptly, efficiently and fairly. At all times we are committed
to providing you with the highest standard of service. If you have
any questions or concerns about your policy or the handling of a
claim or you wish to register a complaint against us you should, in
the first instance, contact Vasek Insurance by writing to 4th Floor,

In the event that you remain dissatisfied you can refer the matter
to the Complaints Department. Their address is Policyholder and

Complaints that cannot be resolved by the Complaints Department may
be referred to the Financial Ombudsman Service. Further details will
be provided at the appropriate stage of the complaint process. The
complaints procedure is without prejudice to your right to take
legal proceedings.
Compensation
We are covered by the Financial Services Compensation Scheme (FSCS).
You may be entitled to compensation from the scheme if we cannot
meet our obligations. This depends on the type of business and the
circumstances of the claim. Insurance advising and arranging is
covered for 100% of the first £2,000 and 90% of the remainder of the
claim without any upper limit.
Claims
When you first insure with Vasek Insurance you will be provided with
comprehensive details of how to make a claim under any of our
policies, this will be contained within the relevant policy wording.
When you become aware of any incident that may give rise to a claim
you should immediately inform us of this, you will then be issued
with a claim form for completion. All incidents that may give rise
to a claim must be notified to us by way of a claim form within 90
days of the date you became aware of the incident. Claims may be
notified to us online at www.vasek.co.uk.
Renewals
Renewal notices will be issued by us to you at least 21 days before
the expiry of the policy. You will be required to confirm your
acceptance of any renewal by way of payment of the annual premium
before the expiry of the policy. It is your responsibility to ensure
that all information contained within the renewal documents is
correct and that any incorrect information is advised to us before
the policy expires so we may issue you with amended documents.
Midterm adjustments
Amendments and changes to insurance policies after inception can be
made upon receipt of full details from you. Additional or return
premiums will be calculated on a pro-rate basis from the date of any
amendment until the expiry of the policy. If you wish to cancel a
policy you may do so at any time by giving us seven days notice in
writing, as long as you have not made any claim under the policy we
will allow a return of premium. Full details of our cancellation
return of premiums can be found in the relevant policy wording.
Administration charges
In addition to the insurance premium we also charge a flat
administration charge of £15 per policy at inception and renewal.
This amount will always be included in any quoted premiums provided
by us. The amount of the charge will also be stated in the Schedule
of Cover. For some midterm policy adjustments we charge an
administration fee of £10, this will be disclosed to you at the time
and clearly shown in any invoice/credit note issued to you.
Credit Card payment charges
If you decide to pay your premium by Credit Card then we will pass
on the cost levied by the banking industry to us for this
transaction to you, at the present time the amount we are charged
for Credit Card transactions is 2.33% (we reserve the right to amend
this amount at any time if the charge to us changes either upwards
or downwards).
There is currently no charge passed on to you for payments made by
Debit Card.
Policy documents
We do not keep for you or withhold your insurance policy documents,
all insurance policy documents are issued to you in full by us. When
we first issue cover for you we will send you a Schedule of Cover
detailing the risk and the relevant policy wording. All documents
issued by us should be kept together and read as one document. If
you make any changes to your policy we will issue you with a revised
Schedule of Cover, this will be sent together with an invoice,
should any additional premium be required, or a credit note and
cheque if there is a return of premium due back to you.
Telephone conversations
To ensure that you receive the best possible service from us, all
our telephone calls are recorded for monitoring and training
purposes.
